Key Requirements of Clause 4:
- Understanding the Organisation and its Context (4.1) The organisation must identify internal and external issues that may impact the effectiveness of the QMS. Internal factors may include company culture, organisational structure, resources, capabilities, and process performance. External factors may include market trends, economic conditions, legal and regulatory requirements, technological advancements, and competitive landscape. A structured method, such as a SWOT (Strengths, Weaknesses, Opportunities, Threats) analysis or PESTLE (Political, Economic, Social, Technological, Legal, and Environmental) analysis, can be used to identify and assess these factors.
- Understanding the Needs and Expectations of Interested Parties (4.2) Organisations must determine relevant interested parties (stakeholders) and their requirements. This includes: Customers Employees Suppliers Regulatory bodies Shareholders Society at large Identifying their expectations helps ensure that the QMS meets both current and future needs.
- Determining the Scope of the Quality Management System (4.3) Organisations must establish the scope of their QMS based on: The external and internal issues identified in 4.1 The needs of interested parties identified in 4.2 The organisation’s products and services Any exclusions from ISO 9001 requirements must be justified, ensuring they do not affect the ability to provide conforming products and services.
- Quality Management System and its Processes (4.4) The organisation must establish, implement, maintain, and continually improve a process-based QMS that: Defines the inputs, outputs, sequence, and interactions of processes Assigns responsibilities for process ownership Identifies risks and opportunities for process improvement Ensures monitoring, measurement, and evaluation for effectiveness Supports continuous improvement
